Management Responsibilities

Managers play a very important role in making sure the Fleet Safety Program is successful. Their leadership helps set the tone for safety throughout the organization.

They must take an active role in planning, enforcing, and improving safety policies to reduce risks and protect both employees and company property.

Managers should take on the following responsibilities:

  • Develop and implement general Fleet Safety Program policies and procedures. For example, managers may create rules for when employees can use company vehicles or what steps to take if a vehicle breaks down on the road.
  • Take responsibility for the driving records of employees during work hours. This means keeping track of tickets, warnings, or crashes and addressing them through training or other steps.
  • Check regularly to ensure all drivers follow the rules in the Fleet Safety Program. A manager might randomly review trip logs, maintenance records, or vehicle inspection checklists to catch any problems early.
  • Review all decisions involving vehicle accidents. For example, if a worker is involved in a crash, the manager must look at the details, talk with those involved, and make changes to prevent a similar incident in the future.
  • Make sure all assigned vehicles are properly maintained. Managers should check that oil changes, tire rotations, and safety inspections are completed on time to prevent breakdowns and accidents.
  • Create policies for regular vehicle inspections. These inspections must look for safety problems, signs of abuse, unreported damage, and overall cleanliness. If issues are found, repairs must be made quickly.
  • Support the company’s driver training program. Managers must encourage drivers to attend training sessions, complete online safety courses, and practice defensive driving habits.
  • Review each preventable crash or unsafe driving report. Managers should meet with the driver and their supervisor to talk about what happened and clearly explain that unsafe driving will not be tolerated.
  • Promote seat belt use at all times. Managers must lead campaigns that remind drivers and passengers to buckle up for every trip, no matter how short.
