Below are some important points to remember when writing an effective safe job procedure.

  • Paint a word picture: Each step in the SJP should be written clearly so the reader can "see" the action in their mind. This is called painting a word picture. For example, instead of writing "turn off power," say "Grasp the breaker switch and move it from the on to the off position (down)." This gives a clear mental image of the exact action.
  • Avoid writing in a technical or abstract style: A safe job procedure is not just a checklist—it should be used to train workers. Writing in a more natural, conversational style helps keep workers engaged and improves understanding. Think about how you would explain the job to a new worker and write it that way.
  • Write in the second person: Use the second person when giving directions. This means writing to the person doing the job. For example, say "Be sure you wear your gloves" instead of "Be sure the worker wears gloves." Writing directly to the worker helps make the instructions feel more personal and easier to follow.
  • Write in the present tense: This helps keep the procedure active and direct. For example, say "Step onto the ladder and hold the handrails" instead of "The ladder should be stepped on and the handrails should be held." Writing this way keeps the instructions simple and clear.
  • Write as clearly as possible: Use everyday language. Avoid using long or complex words when a simple word works better. For example, say "use" instead of "utilize." Clear writing helps make sure everyone understands what to do, especially if English is not their first language.
